Task I. Before watching the film, make sure you know the following words and word combinations:

B. While watching.

Task II. The process of creating a working organizational structure involves five basic steps. Rearrange them in the logical order:

1. Assign the work to individuals and delegate the authority to superiors and managers.

2. Coordinate the specific tasks assigned to each unit and develop a decision making hierarchy including a clear definition of who is in charge.

3. Determine the work activities required to accomplish those objectives.

4. Examine the company or department’s objectives which where identified in a planning process.

5. Classify and group the activities into manageable units, or departments such as production, purchasing, marketing and so on.

Task III. According to Henri Fayol, there are a number of principles of organization that every manager should be aware of. Match the given principles with their definitions:

1. Unity of command a) the number of individuals that a manager directs;
2. Unity of objectives 3. Span of control b) each individual or working unit should be given well-defined tasks, which keep the overall objectives of the organization in mind;
  c) each person in the organization should be responsible to, and take orders from, one other individual;

 

Task IV. The term “span of control” means that every manager is responsible for a manageable number of workers. Identify those factors that determine the quantity of employees that one manager can direct:

- the time the manager needs to spend with each employee;

- the size of the organization;

- the frequency of meetings with employees;

- the goals and objectives of the organization;

- the communicative skills of the manager;

- the abilities and interests of the employees;

- the type of the organizational structure;

- the complexity of the task on hand;

- the position of the manager in the organizational hierarchy.

 

Task V. Specify the categories of organizational structure and fill in the gaps in the following sentences. Then state the respective advantages and disadvantages of each category.

1. The simplest and most basic organizational structure is … organization which is built around various functions or tasks.

2. Companies that make a variety of items are often organized by … because each item may have particular needs in production, marketing, personnel and finance.

3. Often certain organizational functions such as marketing may be divided along … lines. Even entire organizations may structure themselves into regions or territories.

4. The … structure is particularly well-suited for organizations that function on a project-by-project basis.

 

Task VI. Translate the sentences into Russian:

1. Planning sets the stage for what has to be done to meet the company’s objectives while organizing sets up a working structure with just the right combination of people and resources that will allow the plan to eventually become a reality.

2. The basic working unit is the building block of the entire organizational structure no matter how large and complex that structure might be.

3. Everyone in the working unit should know what they are supposed to do, when they are supposed to do it and who is in charge. The work of a manager is to coordinate the individuals’ jobs so that each task is performed in the correct sequence at the right time.

4. For a manager, understanding how a working unit should be organized and recognizing the characteristics of a well-organized, as well as a poorly organized working unit is critical.

5. The “one-person-one-boss” rule is intended to eliminate the problems and confusion that can result from overlapping authority. In reality, exceptions to this concept are sometimes unavoidable but managers should recognize it as being an ideal situation.

6. Functional organizational structure avoids overlapping of execution of business functions and clearly establishes lines of authority and responsibility. However this organization often creates managers who are very specialized in terms of individual function.

7. Divisional organizational structure allows for greater coordination between functions making them more responsive to special needs of the product, besides it encourages positive competition between divisions.

8. The geographic approach to organizational structure can be very advantageous to companies that deal with government regulations, laws and taxes which may vary from state to state.

9. People who work in matrix organizations have to have a high tolerance for ambiguity, they have to be able to go with the punctures, they have to be able to learn that the way to get things done in an organization is through influence and through proving your worth.

10. What managers have to do in a matrix organization is to reconcile themselves to the fact that they’re going to spend a lot of time “integrating”, rapping with each other.

11. No organizational structure can remain static for very long. Government regulations, personnel changes, growth, market conditions, the general business climate, all require that organizations change as time passes.

12. Without a coherent organization the working unit of a company cannot do their job successfully. It’s important to remember that the purpose of any modern healthy organization is to structure all the work of the company towards the goals and objectives of the organization itself.

C. Follow-up activity.

Task VII. Give an example of a highly organized working unit (it may be a company you are familiar with or a department of this company). Define its objective and show how the tasks are assigned. Say what category of organizational structure this working unit belongs to.
